FIRST IMPRESSIONS! They are so important, not only in your personal life, but in your law practice and business life as well.
If you are a lawyer, whether you work in your own law practice or in someone else’s firm, the face of your company, who ever answers your phone, and how they answer it could determine whether or not your law practice gets the new client , or keeps existing clients.
You can distinguish your firm easily from all the others by simply tweaking (or overhauling) what you are already doing.
Here are a few things you can do:
Answer Phones With Positive Energy
Make sure that whoever answers your phone does it in a friendly manner. You don’t want it to be dull and uninformative. People want to know that they’ve reached the right law firm. They want to believe the front end person is just as interested in them as a client as the lawyer who is handling their case.
Introduce Yourself In A Succinct, Friendly & Helpful Way
When your team answers the phones you want the caller to know what company they are speaking to, who they are speaking to and that you are approachable.
Keep it simple like this:
“Thank you for calling Smith and Jones Law. This is Mary. How can I help you?”
Answering the phone this way starts the relationship with your client on a positive note. The client feels that your firm is approachable and really does want to help. You have put their mind at ease, especially if they’ve never called a law office before today.
It doesn’t have to be those exact words but make sure that your receptionist:
✔️ smiles when she answers the phone
✔️ is calm, even if she’s having a stressful day
✔️ paces herself when delivering the greeting
✔️ includes a thank you, the name of the business, her name and asks how she can help the caller.
Keeping all of this in mind when constructing your script will help you to keep clients at ease.
